Find answers in your company documents, draft in Office, catch up on Teams and automate recurring work. Chat, Image Studio and DeepL translation share the same onAI account.

onAI chat answering a question with web search sources

Answers from your Microsoft 365, live

Ask about a contract, an email thread or a decision from Teams. Search live, browse SharePoint and OneDrive folders, or paste a file link. onAI uses your Microsoft permissions and cites the sources it reads.

Mistral Large

What did we agree with Brunner Logistics on the November deliveries? Is anything still open?

Mistral Large 09:41

Two partial deliveries: 400 units on 12 November, the rest on 26 November. 1

The framework agreement allows up to five working days’ delay without a penalty. 2

Still open: on Tuesday Lara Meier asked Brunner to confirm the pallet labels. No reply yet. 3

  1. 1 Re: Delivery schedule November
  2. 2 Framework agreement Brunner 2026.docx
  3. 3 Chat with Lara Meier
Example conversation in onAI. The answer draws on an email, a SharePoint document and a Teams chat, and cites all three.

Where onAI looks

  • SharePoint and OneDrive files
  • SharePoint pages and lists
  • Outlook mail and attachments
  • Calendar
  • Teams chats
  • OneNote
  • To Do and Planner tasks
  • Colleague directory

Your admin can add

  • Teams channels
  • Teams meeting transcripts
  • Copilot meeting notes

Already pay for Copilot licences?

Once your admin switches it on, people with a Microsoft 365 Copilot licence also get Copilot’s search by meaning across SharePoint and OneDrive, plus Copilot’s meeting notes, right inside onAI. onAI uses no pay-as-you-go Copilot APIs, so it adds no metered Microsoft charges.

Your Microsoft permissions stay in charge

  • People see only what they already can

onAI searches as the signed-in person. Microsoft checks every request against that person’s existing access, so onAI never opens a folder they couldn’t.

  • Live search without a second index

Search reads items when you ask, without synchronising your library into another search index. Extracts used in an answer remain in your chat. The separate Teams assistant stores imported transcripts under its retention settings.

  • Search reads; actions need permission

Live search is read-only. Optional SharePoint and OneDrive actions can create folders, upload files or create sharing links after your admin enables them and the required Microsoft consent is granted.

  • Your admin picks the models

Admins choose which AI models may receive Microsoft 365 content. onAI checks that list on the server. The model and endpoint you choose determine where processing happens.

  • Sources on every answer

Numbered citations open the original email, file or chat. An activity line shows what onAI searched and read, so checking an answer takes seconds.

  • Personal accounts work too

On a personal onAI account, freelancers can connect outlook.com, a personal OneDrive, calendar, OneNote and To Do. They approve it themselves, no IT department needed.

For IT: approve access, then deploy the apps

The standard live-search connection uses onAI's Microsoft app. Approve its permissions, then use the Office manifest links and Teams app package in Administration to deploy onAI to the people you choose.

  1. Your onAI admin sends you the approval link from onAI settings.

  2. You sign in as a Microsoft administrator and read one page: what onAI can and can’t do, and every permission it asks for.

  3. You approve. Colleagues connect with one click, or automatically the next time they sign in with Microsoft.

What onAI can and can’t do

  • Live search reads. Optional write actions need separate permission and consent.
  • Delegated only. onAI sees exactly what the signed-in person can already open.
  • Live search does not build a second index of your library.
  • Content is sent only to the AI models your onAI admin allowed.
  • Every user can disconnect at any time. You can revoke the approval in Entra.
The approval page your IT administrator sees before approving onAI.
Search as the signed-in person
Live search uses delegated access. Workflows can separately use an app-only SharePoint connection limited to sites your Microsoft administrator explicitly grants.
Only real admins can approve
Before onAI links your directory, it checks the administrator role in Microsoft’s signed sign-in token.
Additional permissions stay separate
Teams channels, meeting transcripts and file writes each need their own enablement and consent. Declining write access leaves your existing read connection available.
Encrypted and audited
Connection tokens are stored encrypted. With audit logging on, every search and every item read is recorded, never the document contents.
Revocable at any time
Users disconnect in onAI. You revoke the approval in the Microsoft Entra admin center under Enterprise apps.

The live-search permissions are delegated. Optional writes require additional grants and onAI permissions. Personal accounts use a smaller scope set. App-only SharePoint workflow credentials are configured separately and have no mailbox or personal OneDrive access.

onAI inside the Office apps you use

Outlook · Excel · Word · PowerPoint

Draft a reply, check a spreadsheet, revise a document or prepare slides without leaving Office. Use your onAI account and the models your admins allow.

No Microsoft 365 Copilot licence is required for the onAI add-ins. You need the relevant Microsoft apps and an onAI account; IT deploys the add-ins to your users or groups.

In Outlook

  • Summarise threads, draft replies and coach tone and clarity
  • Prioritise the inbox and prepare for meetings with Microsoft 365 context

In Excel

  • Ask about a workbook, write formulas and analyse tables
  • Review a plan for charts, PivotTables and changes before applying it
  • Use =ONAI.PROMPT(), TRANSLATE, CLASSIFY and other worksheet functions

In Word

  • Draft, rewrite and translate using the document's styles
  • Ask questions with paragraph citations and review suggested fixes
  • Apply tracked changes on supported Word versions

In PowerPoint

  • Draft slides, rewrite text and ask about the deck
  • Translate slides and generate images with onAI
  • Review the proposed changes before applying them

Capabilities depend on your Office version and Microsoft permissions. Changes to documents are yours to review and apply. Optional mailbox actions and meeting transcripts need additional IT approval.

Catch up on meetings and conversations in Teams

Open onAI inside Teams to review a meeting or catch up on a conversation. Recaps link to the transcript passages and messages behind each point.

  • Decisions and action items with sources

Get a recap with decisions, open questions and action items, including owners and deadlines when the transcript names them. Ask follow-up questions or compare selected meetings.

  • Find what needs your attention

Catch up on chats and channels you can access. Summarise discussions, collect open requests and draft a reply to review before you share it.

  • Take the result into your work

Export a recap to Word or Excel, draft a follow-up in Outlook or continue in onAI chat. Action tracking stays private until you choose to share the result.

IT must enable and deploy the Teams assistant. It uses a Microsoft work or school account and approved permissions. Transcript import depends on your meeting access, usually the organiser; you can also upload a transcript you are authorised to use.

Plan your Teams setup

Turn recurring work into a workflow

Combine AI, company documents and business apps in onAI. Start a published workflow yourself, on a schedule, from a webhook or when a connected app has a new item.

  • Build and check each step

Add AI requests, document extraction, conditions, app actions and approval steps in the editor. On supported plans, describe an automation in chat and test a draft before publishing it.

  • Keep people in the process

Route decisions to named people or groups, set deadlines and require a second person to approve. The workflow waits for their decision before continuing.

  • Publish a version your team can run

Keep drafts separate from published workflows. Review the history of each run, its steps and AI costs, and set limits for runs and spending.

Example: review a supplier invoice

  1. A new invoice arrives in a connected mailbox

  2. Read the PDF and extract supplier, amount and due date

  3. Route invoices above your threshold to Finance for approval

  4. Post the approved summary to the selected team channel

You publish and enable the workflow. Drafting an automation in chat does not turn it on. Draft tests simulate writes and approvals; reads and AI requests can run and use credit.

Connect the apps your process uses

Connected apps share actions between chat and workflows. Your admins configure access; each connection needs the right credentials and permissions.

  • Outlook
  • SharePoint / OneDrive
  • Excel
  • Microsoft Teams
  • Gmail
  • Google Drive
  • Google Sheets
  • Google Calendar
  • Slack
  • Jira
  • Confluence
  • Notion
  • Asana
  • Airtable
  • HubSpot
  • Salesforce
  • Zendesk
  • Stripe
  • bexio

Workflows require activation and inclusion in your organisation's plan or contract. Your admins control who can build them. Chat-based drafting and connected-app actions depend on your chat plan. We help configure the connections and permissions.

Translations that use your company’s own terms

The translator runs on DeepL, the translation engine from Germany. Paste text or upload a Word file or PDF. It comes back with the layout intact, using your organisation’s glossaries and the tone you choose.

  • Whole documents, layout intact

Upload a Word file or PDF and download the translation in the same format, ready to send.

  • Your glossaries

Define once how product names and technical terms are translated and share the glossary across your organisation. It works for text and whole documents.

  • Formal or informal, in the right tone

Choose formal or informal address, then rewrite the result as simple, professional, casual or academic.

  • Help with every word

Click any word for alternatives with usage notes or a short dictionary entry. Read both texts aloud to check them.

Where your data lives

  • Swiss contract, two laws. Your contracting party is Telesoft AG in Switzerland. The Swiss DSG and the GDPR both apply.
  • European infrastructure, end to end. The application, file storage, CDN and DNS all run in Europe.
  • Your own server if you want one. A dedicated server in Europe, or on-premises in your data centre.

Who can see it

  • Not your admins. Administrators manage users and models. We set up every onAI instance so that they can't open employees' chats.
  • Microsoft 365 stays in Microsoft 365. Live search uses each person's Microsoft permissions without a separate search index. Optional file actions need additional permission and consent. Workflows use the identity and connection you configure.
  • Strict tenant separation. Every record belongs to exactly one organisation. Files and access tokens are encrypted, and an audit log records sensitive actions.

What leaves, and how

  • No training on your data. Prompts, files and answers are never used to train AI models.
  • Personal data stays out of search. Admins can enable automatic redaction for supported web search and image providers. Review the enabled providers and settings with your IT team.
  • European AI, or your own. Mistral, FLUX and DeepL are built in. On a dedicated server or on-premises you can connect your own models.
  • Choose where models process data. For dedicated and on-premises deployments, discuss European model endpoints or your own inference with us. Confirm processing and retention terms for each provider.

Everything your data protection officer will ask for

  • Data processing agreement
  • Public list of subprocessors
  • GDPR deletion and retention periods
  • EU AI Act transparency labels
  • Interface in English and German

Usage journal and billing

  • Every AI request is logged in the usage journal, with the token counts the provider reports.
  • Admins assign licences and set optional limits per person. Workspace owners can see the remaining balance and manage billing.
  • Usage beyond your included model budget draws on the credit available to your workspace. If a limit or balance blocks a request, onAI explains what the owner needs to change.
  • Usage reports break down consumption by model, feature and person. Your message draft stays saved if you need to wait for access or credit.

Frequently asked questions

Got questions? Here are the most important answers.

onAI runs on servers in Europe, and your contracting party is Telesoft AG in Switzerland. On request we run onAI on a dedicated server or on-premises in your own data centre.
A current browser and a corporate login are sufficient. For single sign-on we support Microsoft Entra ID, Google, any OpenID Connect provider and LDAP.
Microsoft 365 is searched live with each person's own permissions, as described above. Other sources such as Confluence or S3 connect through standardized connectors or our secure API. Access rights are preserved.
Yes. We continuously expand the feature set and always support the latest AI models.
Yes. onAI has add-ins for Outlook, Excel, Word and PowerPoint, plus a Teams assistant for meetings and conversations. IT deploys and enables these apps. Available functions depend on your Office version, Microsoft permissions and the onAI setup; the onAI add-ins do not require a Microsoft 365 Copilot licence.
Organisations with Workflows enabled can build workflows with AI, documents, app actions and human approvals. Start them manually, on a schedule, through a webhook or from supported app events. Chat-based drafting depends on your plan; you review, publish and enable each automation yourself.
Live search only reads. Optional file actions can create folders or sharing links after separate onAI permission and Microsoft consent. Workflows can upload files with an approved connection and execute the actions in the version you publish.
